Cohesity is seeking an Executive Assistant to support the day-to-day business. You'll be handling a wide range of administrative support responsibilities as well as projects that help the local Managing Director increase the velocity of the business. This could include process improvement, increased use of collaboration tools (e.g. MS Sharepoint etc), as well as increased automation of day-to-day activities. You should be a natural people person. HOW YOU'LL SPEND YOUR TIME HERE:
Prepare agendas, files, and relevant documents for meetings, plan business trips, and other purposes as the need arises.
Ensure that meeting invites include the agenda.
Capture necessary content from individuals.
Coordinate and document company-wide meetings (e.g. incorporating sales, pre-sales, channel teams, customer service, support).
Liaise with internal and external stakeholders ensuring clear communication and time management.
Maintain contact with the manager daily with the outline of tasks completed, outstanding, and in progress.
Arrange travel for executives including hotel, transportation, meeting space, meal reservations, and visa requirements for both domestic and international travel.
Create and submit expense reports promptly for executives ensuring expenses are within company policy and receipts, when needed, are attached.
Create purchase requisitions, as needed. Ensure all paperwork is complete and compliant with company policy.
Perform any other ad hoc duties as needed.
Demonstrated ability to leverage AI tools to enhance productivity, streamline workflows, and support decision making.
WE'D LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING:
Excellent time management skills, as well as verbal and written communication skills.
Excellent organization skills, attention to detail with a high degree of accuracy, and the ability to work independently and exercise good judgment in a fast-paced environment.
Excellent interpersonal and customer service skills with the ability to communicate verbally and in writing with all levels of associates (C-level, EVP, Director, etc. at Cohesity and external vendors).
Experience with policies, practices, and procedures in a business environment.
Flexible; able to adapt to changes in work and priorities.
Proficient in Microsoft products and Google (Outlook, Word, Excel, PowerPoint, G-Mail, Google Drive, Google Calendar).
Experience and skills in using AI toolsets such as Co-pilot to automate routine tasks and accelerate research and planning activities
Must be proficient in using technical and web-based solutions such as e-meeting/webinars (WebEx, Zoom, etc.) and general use of internet and social media applications.

Cohesity employees who are within a reasonable commute (e.g. within a forty-five (45) minute average travel time) work out of our core offices 2-3 days a week of their choosing.
