About the role

As an Operations Coordinator at Greenlite, you'll be the heartbeat of our SF office, ensuring our team has everything they need to move fast and build the future of financial crime compliance. This is a hands-on role where no two days are the same—from managing a perfectly stocked kitchen to executing seamless team events that define our culture.

You'll work directly with leadership and cross-functional teams to take full ownership of our daily office environment, vendor relationships, and internal events. Your operational excellence will directly impact team productivity, morale, and our ability to scale as a high-growth AI company.

This is a core operations role supporting the entire organization. You're a proactive, high-energy professional who loves logistics and thrives in person. You'll lead office management, coordinate meal programs, and ensure our workspace is organized, professional, and high-performance. You're not just managing an office—you're creating the operational foundation that allows our team to focus on protecting the global financial system.

Please Note: This is an on-site role. We work in-person Monday through Friday in our SF office.

What you'll do

Month 1:

  • Master our office operations systems, vendor relationships, and team preferences

  • Take ownership of daily office logistics including inventory management, deliveries, and workspace organization

  • Build relationships with building management and key vendors

  • Shadow team events and understand our culture and expectations

Month 2:

  • Fully own meal and snack coordination, ensuring high quality, variety, and dietary inclusivity

  • Establish efficient systems for tracking inventory, managing vendor relationships, and handling deliveries

  • Support your first team event or celebration from start to finish

  • Become the go-to person for office needs and facilities issues

Ongoing:

  • Manage daily office environment ensuring workspace is organized, professional, and high-performance

  • Coordinate daily catering and snacks, serving as primary point person for all food vendors

  • Partner with leadership to plan and execute internal events, happy hours, and celebrations

  • Act as facilities liaison with building management, handling maintenance requests and ensuring office security

  • Assist with onboarding logistics for new hires, including desk setup and welcome materials

  • Provide general operational support to leadership team as company grows

  • Proactively identify and solve operational challenges before they impact the team

What we're looking for

  • 1-3 years of experience in office operations, hospitality, retail management, or administrative roles

  • Reliability—you take pride in being the person everyone can count on to get things done

  • Problem solver who handles vendor cancellations or office issues calmly and quickly

  • Clear, professional communicator comfortable interacting with everyone from CEO to external contractors

  • Tech savvy with proficiency in Slack, Google Workspace (Calendar/Docs), and basic project management tools

  • High-energy and proactive with ability to anticipate needs and take initiative

Bonus points:

  • Experience in fast-paced startup or tech company environment

  • Event planning or hospitality background

  • Experience managing vendor relationships and negotiating contracts

  • Passion for creating positive workplace culture
