The Job

We are seeking a Workplace Experience Receptionist , for a temporary position. You will be the face of Own Tel Aviv’s employee experience. You will embody our culture and be passionate about our employees' safety and well-being. You will also support other areas of the company as needed, applying your expertise to many different projects that require organization coordination, and strong communication skills to see through to completion. We are looking for an approachable and friendly personality who will thrive in our startup environment for our front of house. A can-do attitude and a strong customer service orientation are essential for this role. This position requires working from the office Sunday through Thursday, 8 am to 5 pm.

Your Day-to-Day Role

  • Ensuring the office is maintained to the exceptional standard expected for a wildly successful SaaS company. This includes making sure the office is fully stocked with office supplies, food/beverages, and managing deliveries.
  • Manage meeting rooms including ordering food, catering, and supplies for all meetings, both internal and external.
  • Help plan and aid the execution of on-premise events for employees and clients as directed.
  • Liaise with onsite building’s management to ensure services are being met quickly and efficiently.
  • Ensure compliance with all health and safety regulations.
  • Ensure cleaning protocols are being followed and direct the cleaning crew as needed.
  • Run the front desk: greeting and registering guests, and handling employee/guest/vendor inquiries.
  • Manage general shipments going to our various global locations in conjunction with onsite points of contact.
  • Research and identify cost-effective strategies for the General & Administrative team.
  • Manage, order, and take inventory of all supplies for the facility and track actuals against the allocated budget.
  • Assist with the On/Off boarding process.
  • Keep the pulse in the office and manage employee expectations and suggestions around facility management.
  • Assist the team with ad hoc projects on an as-needed basis.

Your Work Experience

  • At least 1 - 3 years of professional experience.
  • Bachelor's degree (preferred).
  • Keen attention to detail and ability to anticipate issues.
  • Willingness to tackle any job: You have to be willing to own the all task from small ones such as emptying the dishwasher, restocking inventory, office space cleanup as well as setting up events, managing projects alongside the respective Owners
  • Focused on the detail and able to multitask
  • Organized and efficient to ensure that our office functions efficiently and nothing slips through the cracks
  • Experience working at startup environments that requires hands on management, flexibility and ability to wear “multiple hats”
  • High levels of professionalism, especially in the face of challenging situations
  • Effective communicator both verbal and written

Important Details

This is a full-time position, with a commitment of 5 days a week in office. The ideal candidate will work out of our Tel Aviv office to maximise collaboration and interaction with business. Travel may be required.
